Creating an action plan during a meeting is a crucial way of ensuring the success of your organisation. An action plan is a great way to make sure your organization’s vision is made concrete. It takes your organisation to where you need to be. The action plan should describe the way your group will use its strategies to meet its objectives.
An action plan outlines the specifics that must be done. Not every goal needs an action plan, but for more complex, ongoing goals, or goals that involve more than one person, it’s usually helpful to be specific about who will do what by when. An action plan consists of a number of action steps or changes to be brought about. Every goal should have an individual charged with ensuring that the goal is moving forward.

Each action step or change to be sought should include the following information
• What actions or changes will occur? Are we sure these are the right actions?
• Who will carry out these changes?
• When will they be completed?
• How will those actions take place? What resources (i.e., money, staff) are needed to carry out these changes?
• Communication- What kind of coordination is necessary? (Who should know what?)
Remember – the meeting supports the action plan, not the other way around. So make sure that each individual leaves the meeting knowing exactly what is required of them and by when.
Before the meeting adjourns, try to do a brief evaluation. Ask some informal questions such as, “Do you feel like we accomplished what we needed to today? Did everyone participate?” This will highlight that everybody is clear of their roles and what is to be achieved going forward.
